Celebrating 50 years of innovation to make precision radiation therapy accessible to everyone, everywhere – join us at the ANZ User Meeting 2023, for a weekend filled with hands on workshops, inspiring educational sessions, engaging partner talks and abstract presentations.

We've partnered with the Cancer Care Associates as this year's scientific committee. CCA will be working with the Elekta organisers to ensure all abstract submissions will be carefully reviewed and judged accordingly.

All software workshops will be sold independently to give flexible access to those who wish to attend Friday workshops only. We will kick off the program with a Welcome reception on Friday. Be sure not to miss our 80s-themed gala dinner on Saturday. Our latest program is available under the Day 1 and Day 2 & 3 tabs.

Abstracts

Call for Abstracts
The organising committee invites abstracts for the 2023 ANZ User Meeting. To secure your presentation in the Program, all presenting authors (oral and poster) must register and pay to attend the User Meeting.

Abstracts can be submitted during your User Meeting registration. If you're not ready yet and would like to complete the registration first, you will have an option to modify your registration and upload your abstract until 22 January 2023.

Abstract Submission Guidelines
The abstract must be limited to 300 words, exclusive of title, author(s) names, institutional affiliation(s) and references.  

Abstract Body Format
Abstracts must be structured under the following headings as relevant: 

  Introduction

One or two sentences to introduce the topic/activity/project/area of research and the rationale.

  Objectives/Aims

Aims of the activity/project/research study.  The background of the work should be described, clarifying the topic.

  Description/Methodology

Information on how the project/activity was undertaken and who the participants were.

  Results

Describe the outcome of the project/activity or the main findings of a research study. 

  Conclusions

Endpoints for the project/activity/research and emphasise new and important aspects of the work and the conclusions that follow from them.

  References

References will be included in the word limit.  Keep references to a minimum and use an abbreviated referencing system (i.e. First author et al., no title, year of publication, abbreviated journal title, volume, pages).

 

Abstracts will be selected for oral presentation and poster viewing 

  • The posters selected will be displayed in a separate poster viewing area
  • Selected posters will be mounted on a 4 x 4 m board and need to be A0 in size (841mm x 1189mm)
  • The poster will be viewed from 1 - 4 m and captions must be clearly visible from 1 m
  • The presenting authors will present his/her poster in 5 minutes and following this will be 3 minutes for discussion with 2 members of the abstract review committee
     

When submitting the abstract, you will be required to provide the below information (Please download the form here)

  • Is the abstract for oral or poster presentation? 
  • Abstract title and author name/s 
  • Presenter/s name 
  • Presenter/s contact details 
  • Short biography (50 words max.) about the presenter 


Review Notification 

  • All abstracts will go through a review process by an abstract review committee.   
  • Notification of acceptance will be sent via email on 16 February 2023.
  • You must be registered to attend the 2023 Elekta ANZ User Meeting to present your abstract.
     

Information for Oral Abstract Presenters 

  Uploading of Presentations 
  • Presentations can be uploaded on Friday 24 March between 4:00 pm – 5:00 pm and Saturday 25 March 2023 between 7:30 am – 8:45 am. 
  • All oral abstract presentations must be uploaded by 8:45 am on Saturday 25 March 2023.
  • Uploads will take place at the registration desk on Level 1 of Novotel Sydney Darling Harbour.
  • The aspect ratio for PowerPoint slides is 16:9
  Oral presentations will be allocated a maximum of 15 minutes and structured as follows
  • 12 minutes presentation time 
  • 2 minutes for Q&A 
  • 1 minute for interchange 
  Timekeepers
  • The timekeeper will be seated at the back of the room.
  • The timekeeper will hold up a card at 9 minutes and a second at 11 minutes.  
  • A bell will ring at the completion of 12 minutes to indicate the end of your presentation time. 
  Presentation Start
  • To prepare attendees and speakers for the start of a new session a bell will sound 5 minutes before the completion of each catering break. 
  • If you are the first presenter after a catering break, please make your way to the Symposium Room in preparation for your presentation. 
  Oral abstract presentations will be judged on the following criteria 
  • Abstract  importance and relevance of key concepts under discussion, scientific merit and originality 
  • Introduction/Aim structure, focus and direction 
  • Development of Topic concepts and ideas are defined and discussed 
  • Research evidence of research undertaken 
  • Preparation/Knowledge and Understanding presenter's knowledge and understanding of the material being presented 
  • Delivery & Quotations clarity, rapport with the audience and ability to answer questions 
  • Relevance to Elekta Users relevance to the application of Elekta products. 


Information for Poster Abstract Presenters 

  Mounting of Poster Presentation
  • Posters can be mounted on Saturday, 25 March 2023 between 7:30 am – 8:45 am 
  • All posters must be mounted by 8:45 am on Saturday 25 March 2023
  • A designated board and all mounting material will be located at the registration desk on Level 1 of Hilton Auckland. 
  Details for Poster Presentations
  • Poster presenters will be allocated 3 minutes to present their poster followed by 1 minute for discussion with two members of the abstract review committee. A timekeeper will also be present and alert you at 2 minutes. 
  • Presenters are requested to meet in the expo area at the commencement of the lunch and afternoon break on Saturday – please do not be late. 
  Poster Printing
  • Posters must be printed in A0 size (841 mm x 1189 mm). 
  • Posters will be mounted on a 4 x 4 m board.  They will be viewed from 1 to 4 m and captions must be clearly visible from 1m. 
  • Poster presenters must supply an electronic version of their poster in PDF format. This should be emailed to Sherry Nierves no later than Friday 10 March 2023
  Posters will be judged on the following criteria 
  • Visual attractiveness 
  • Rationale, aim and methods  
  • Presentation of results 
  • Justification of the conclusion by the results 
  • Relevance to the application of Elekta products
